Using email templates.

When you create your template as described in the previous documentation guide, you are ready to save time with them while sending your personalized outreach emails. As Postbag provides a fully integrated solution, this is very easy to do from within your outreach list. Before we start explaining this, let's take a look into the email template we wrote in the previous Postbag documentation guide.

To remind ourselves, we specified ${WEBSITENAME}, ${FIRSTNAME} and ${PAGETITLE} placeholder tags within our template which we will fill out with the help of our email editor.

Opening the email editor.

To open the email editor, we need to open any of our interactive outreach lists and click on the email address linked to an outreach opportunity as described under our Sending personalized emails section. However, as soon as you defined and saved at least a single template, what happens when you click an email address there changes a bit. Instead of immediately opening a blank email editor, you will get a modal dialog with a list of templates to select from.

As you can see, from that list you can select any of the templates you previously created by clicking the Select button next to each.

Personalizing the template.

What happens when you select a template depends on whether you defined any placeholder tags in the template or not. If there were no placeholder tags, you would get an email editor opened with a template pre-filled. However, if you defined any placeholders, you would get another modal dialog asking you to fill these in.

As in our example we defined ${WEBSITENAME}, ${FIRSTNAME} and ${PAGETITLE} placeholders, our template filler dialog will look like below.

The figure above shows us that for every template placeholder tag we define in a template, the template filler dialog will asks us for a value immediately before we send out that template to a recipient.

For this particular example, let's fill out ${WEBSITENAME} to be Consumer Guides, ${FIRSTNAME} to be Mike and ${PAGETITLE} to be Mortgage Advice Guides. After that, we can click the Generate email button.

Finishing touches.

When you click the Generate email button, your template is going to get customized with the placeholder values you entered and will be opened to you in an email editor. From here you can further edit the email if you wish so and can also send it out to the final recipient. The personalized email based on your template is shown on the figure below.

As you may have noticed, at this point we have a fully personal email, with personalized subject, directly addressing the person by name and showing them we actually took the time to take a look into one of the guides they wrote.

At the same time, we only had to enter three fields with text, didn't have to copy and paste templates into a third party email editor and manually search for places where we need to enter certain pieces of information. Furthermore, we were also able to send the email directly from the interactive outreach list which saves a lot of time when compared with a classical multi-tool outreach approach. And last but not the least, the recipient email would also be prefilled with an address that Postbag has found on the web.
